1. Organizer

The seminar Jundokan Gasshuku Poland 2027 (22–25 April 2027, Kozerki Active, ul. Jowisza 92, 05-825 Kozerki, near Warsaw) is organized by UKS Sanchin [full registered name], [registered address], [register/KRS/REGON/NIP if applicable], website karate-marki.pl (the "Organizer").

Contact: Szymon Giedrojć, phone +48 500 153 162, e-mail uks@ukssanchin.pl (also wmgoju@wp.pl). The registration website gasshuku.karate-marki.pl (the "Website") was built for the Organizer by 4Lider (Adam Przybysz, 4lider.pl).

2. Scope

These Rules govern the online registration of clubs and participants for the seminar through the Website, the calculation of fees, and payment by bank transfer. By creating an account and submitting a registration you confirm that you have read and accept these Rules.

3. Account and registration

Registration is made by a club leader, who creates a managing account and adds the participants from their club. The leader is responsible for the accuracy of the data provided and for informing their participants how their data is used (see section 8).

A registration can be edited by the leader while it is a draft. After it is submitted it becomes read-only. The leader may create one or more registrations; a common payment deadline applies to all.

4. Fees and optional extras

The seminar fee is 200 EUR per participant. Optional extras are chosen per participant during registration: Welcome Party (30 EUR), Sayonara Party (40 EUR), Lunch on 24.04 and/or 25.04 (18 EUR each) and additional t-shirt(s) (12 EUR each). One t-shirt is included in the seminar fee. All amounts are in EUR. The authoritative amount is the total calculated by the Website at submission.

5. Submission, acceptance and payment

After a registration is submitted it awaits acceptance by the Organizer. Once the Organizer accepts it, the Website shows the payment details (bank account, transfer title and deadline) and the leader receives them by e-mail. Payment is made by bank transfer in EUR, using the exact transfer title shown (format GASSHUKU-2027-XXXX). A place is secured once the Organizer confirms receipt of payment.

6. Cancellation and refunds

To cancel a registration or a participant, contact the Organizer by e-mail before the payment deadline. Refund conditions after payment: [ORGANIZER TO DEFINE — e.g. full refund until [DATE], 50% until [DATE], no refund afterwards; fees may be transferred to another participant]. Parties and lunches already ordered may be non-refundable close to the event.

7. Participant obligations, health and insurance

Each participant trains at their own responsibility and should be in a state of health that allows intense physical activity. Participants are advised to hold their own accident and health insurance valid in Poland. Participants follow the instructions of the instructors and the venue rules, and behave with respect toward others.

8. Liability

The Organizer is not liable for injuries, loss or damage to property occurring during travel to/from or during the seminar, except to the extent required by applicable law. Participation in physical training carries inherent risk that each participant accepts.

9. Personal data (GDPR)

The controller of personal data is the Organizer (UKS Sanchin, contact: uks@ukssanchin.pl). Data collected: leader account data (name, e-mail, phone, country, club, optional address) and participant data (name, grade, club, country, chosen options, optional e-mail/phone). Purpose: handling the registration, communication, and organizing catering, t-shirts and the participant list.

Legal basis: performance of the registration and the steps taken at your request (Art. 6(1)(b) GDPR) and the Organizer's legitimate interest in running the event (Art. 6(1)(f) GDPR). Data is processed on the Organizer's behalf by service providers used to run the Website and notifications (hosting and database — Supabase; automation and e-mail — Make.com; anti-bot verification — Cloudflare Turnstile). Data is kept for the time needed to organize and settle the event and then for the period required by law, after which it is deleted.

You have the right to access, rectify, erase or restrict processing of your data, to object, and to data portability, as well as to lodge a complaint with the supervisory authority (in Poland: President of the Personal Data Protection Office, UODO). To exercise these rights, contact the Organizer at uks@ukssanchin.pl. Providing the data is voluntary but necessary to register for the seminar.

10. Photography

A group photo session is planned during the seminar (25.04). Photographs and recordings may be taken during the event and may be used by the Organizer to document and promote its activity. If you do not wish to be photographed or your image used, please inform the Organizer at uks@ukssanchin.pl.

11. Final provisions

These Rules are governed by Polish law. The Organizer may update these Rules; the version in force is the one published on the Website at the time of registration. Questions about registration or these Rules: uks@ukssanchin.pl.
